Management of Change

Change is a constant factor, which organizations must be prepared for nowadays. The benefits of a well-structured, organization-wide applicable ‘Change Process’ design is obvious. 'Changes' are a process, in which the reasons and the impact for the change and ultimately the approval of the change are recorded.
Changes can be assessed from different perspectives and by different disciplines. Will a proposed 'change' be authorized? If so, how does this affect the SHE policy, what is the impact on operations or the personnel policy for example? Is the necessary budget available and is the implementation adequately prepared? These are questions for which the right input is collected through the MOC enterprise application, to improve the overall quality of decision making in the whole organization.

Innovating products and processes
QOL|MOC enables your organization to innovate products and processes within a controlled and well-documented process. Functional managers and experts can work together in an easy to use system, which supports the process by which a 'Change' is treated. QOL|MOC controls the process, while the content is left to the domain experts within your organization. Changes that do not directly relate to an innovation, can also lead to innovative ideas. A controlled process
Changes are made in a controlled manner. Such a process should include a proper impact analysis, focused on the nature of the change. Apart from the impact analysis and before implementation, the implementation of the change must be formally approved. The MOC workflow ensures that the process will be completed step by step. During this process QOL| Management of Change registers all data, which are imported during the process. Based on this, decisions and improvements can be offered timely and well argued.

Roadmaps and checklists
Change Management provides the functionality to draw up a roadmap or workflow, along which the change is implemented. Department review, authorization and budget approval are part of the process. During the process, QOL| Management of Change can offer mandatory or optional checklists to be completed.. An impact analysis can be part of 'the Change', which by nature may have a big impact on the organization.

Traceability
QOL| Management of Change automatically creates a file for each change. In such file, the ‘Change’ itself, eventual checklists, designs, specifications and test reports are stored securely.. Important information can never just disappear, because every piece of content is included in one centralized and controlled environment. QOL| Management of Change also enables users to refer to information stored in other modules, such as incidents and quality documentation, if they are part of the change process.

Integration
The change process can be integrated with other Quality Online modules. After finishing the process gradually, the change can be approved via an authorization step. An example is a regulation change, where the final result may be a procedure change in the Document & Content system for Quality Online.

Change history
By consistently applying the QOL| Management of Change module, a corporate memory of previous changes is created. It defines the "what, why and how" of previously implemented changes. This information provides an important reference in the decision making at every level within the organization.
